Who We Are

J. Wood and Sons Ltd. trading as Early Music Shop of PO Box CO CRASL, Carlton Park House Main Road, Carlton, Saxmundham, England, IP17 2NL collects, uses and is responsible for certain personal information about you. When we do so we are regulated under the General Data Protection Regulation (‘GDPR’) which applies across the European Union (including in the United Kingdom) and we are responsible as ‘controller’ of that personal information for the purposes of those laws.

J. Wood and Sons processes your personal information to meet our legal, statutory and contractual obligations and to provide you with our products and services. We will never collect any unnecessary personal data from you and do not process your information in any way, other than as specified in this notice.

We collect information in the following ways: -

  • When you sign up to our newsletters (email and physical) in store or by phone or on our website.
  • When you place an order either in person in store or by phone or on our website.
  • When you fill out a direct marketing consent form at the Early Music Shop stand at festivals and exhibitions.

How We Use Your Personal Data
J. Wood and Sons Ltd takes your privacy very seriously and will never disclose, share or sell your data without your consent; unless required to do so by law. We only retain your data for as long as is necessary and for the purpose(s) specified in this notice. Where you have consented to us providing you with promotional offers and marketing, you are free to withdraw this consent at any time. The purposes and reasons for processing your personal data are detailed below: -

  • We collect your personal data in the performance of a contract or to provide a service and to ensure that orders are completed and can be sent out to your preferred address.
  • We collect and store your personal data as part of our legal obligation for business accounting and tax purposes.
  • Where you have provided specific consent, we will occasionally send you marketing information by email.

Sharing and Disclosing Your Personal Information
We routinely share your personal information with our third party suppliers, as detailed below.


3rd Party Supplier: Shopify, Inc
Data Shared: Name, Billing and Delivery Address, Credit/Debit Card details, Telephone number, IP address, Email address & order value and order details
Purpose: When you place an order on our website or instore with a debit or credit card, this information is used to create your order, authorise your card payment and to prevent fraud.

3rd Party Supplier: Klarna Bank AB
Data Shared: Name, Billing and Delivery Address, Credit/Debit Card details, Telephone number, IP address, Email address & order value and order details
Purpose: When you opt to pay later or in instalments at the checkout.

3rd Party Supplier: Mailchimp
Data Shared:
Name, Email and postal address
Purpose: When you consent to join our email newsletter or withdraw that consent, we record this in our email marketing platform.

3rd Party Supplier: Royal Mail, UPS & Parcelforce
Data Shared:Name, Delivery Address, Email and Phone number
Purpose: To deliver your order to your preferred address.

3rd Party Supplier: Google, Inc
Data Shared: IP address and order number
Purpose: For website analytics, IP address is used to help us understand from which geographical location our website visitors are coming from. Order number is used to help us understand what proportion of visitors go on to make a purchase.

3rd Party Supplier: PayPal, Inc
Data Shared:
Name, Billing and Delivery Address, Email address and order value
Purpose: When you place an order on our website via PayPal, these details are shared with PayPal so that your PayPal account can be used to make payment and so that PayPal can prevent fraudulent transactions.

We will not share your personal information with any other unrelated third party.

Safeguarding Measures
J. Wood & Sons Ltd takes your privacy seriously and takes every reasonable measure and precaution to protect and secure your personal data. We work hard to protect you and your information from unauthorised access, alteration, disclosure or destruction and have several layers of security measures in place, including TLS (a secure way of transmitting data over the internet), data encryption, restricted access procedures, IT authentication & firewalls.

 

Transfers Outside the UKJ Wood and Sons Ltd. utilise some products or services (or parts of them) that may be hosted/stored in the USA, Canada and European Union which means that we may transfer any information which is submitted by you through the website outside the UK for the below purposes:

  • Payment Processing: Shopify, Inc
  • Payment Processing: PayPal, Inc
  • Payment Processing: Klarna Bank AB
  • Web Analytics: Google, Inc

Therefore, when you use our website, the personal information you submit may be stored on servers which are hosted outside of the UK. Where this is the case, we will take steps to ensure that those providers use the necessary level of protection for your information to protect your data and comply with the relevant data protection laws.

Consequences of Not Providing Your Data
You are not obligated to provide your personal information to J Wood and Sons Ltd. However, as this information is required for us to deliver your products, we will not be able to offer some/all our services without it.

 

How Long We Keep Your Data
J Wood and Sons Ltd. only ever retains personal information for as long as is necessary and we have strict review and retention policies in place to meet these obligations. We are required under UK tax law to keep your basic personal data (name, address, contact details) for a minimum of 7 years after which time it will be anonymised or destroyed. Where products that you have purchased have a warranty period longer than 7 years, we will retain your personal data for as long as the warranty period lasts, or until you notify us otherwise.
Where you have consented to receive email newsletters from us, we will keep such data until you withdraw your consent. If you do not actively withdraw your consent and you do not open an email newsletter for a period of 2 years we will deem your consent to have expired and will seek new consent from you before sending further email newsletters.

Where you have consented to us using your details for physical newsletters, we will keep such data until you notify us and/or withdraw your consent.

Lodging A Complaint
J Wood and Sons Ltd only processes your personal information in compliance with this privacy notice and in accordance with the relevant data protection laws. If, however you wish to raise a complaint regarding the processing of your personal data or are unsatisfied with how we have handled your information, you have the right to lodge a complaint with the supervisory authority. PayPal Transactions
In addition to the Privacy Policy outlined above, all PayPal transactions placed on the Early Music Shop website are also subject to the PayPal Privacy Policy
